Account & Workspace

Signing up and signing in

Sign up with an email and password, or with Google. Password requirements: at least 8 characters, one uppercase and one lowercase letter, one special character, and no sequential digit runs (like 1234).

Forgot your password? Use the Forgot password? link on the sign-in page. Enter your email and, if an account exists for it, you'll get a reset link valid for 15 minutes. For security, you'll see the same confirmation message whether or not that email is actually registered. Resetting your password signs you out everywhere — every device with an active session will need to sign in again with the new password.

Your session stays active via a securely stored refresh token; you can view and revoke your active sessions if you want to sign out a device remotely.

Account security also shows your account ID with a Copy button. Share this with support when reporting an issue — it lets them find your account immediately instead of searching by email.

Authenticator app verification

Authenticator app verification is an optional second sign-in step for both password and Google accounts. Open Account security from the dashboard account area, confirm your identity, and select Set up authenticator.

During setup:

  1. Scan the QR code with an authenticator app, or enter the displayed manual key.
  2. Enter the six-digit code generated by the app.
  3. Save the ten recovery codes using Copy or Download.
  4. Confirm that you saved the codes before finishing.

After it is enabled, every new web or Chrome extension sign-in requires either a current six-digit authenticator code or one unused recovery code. VisualRunner does not offer a trusted-device bypass. Existing sessions continue until a security change revokes them.

Each recovery code works once. Account security shows how many remain and lets you generate a new set after confirming your identity and entering a current authenticator code. Generating a new set invalidates every previous recovery code and signs out active sessions.

Disabling authenticator verification requires identity confirmation plus an authenticator or recovery code. Password resets do not disable authenticator verification. They change the password and sign out active sessions, so the authenticator code is still required on the next sign-in.

If you lose both the authenticator and every recovery code, contact VisualRunner support. A senior administrator or platform owner must verify the recovery request. An administrator reset signs out every session, is recorded in the audit log, and sends a security email to the account owner.

Warning

VisualRunner shows recovery codes only once. Store them somewhere separate from the device running your authenticator app. VisualRunner support will never ask you to send a current authenticator code or recovery code by email.

Workspaces and projects

A Workspace is the billing and membership boundary — it owns your projects, your team, your subscription, and your usage. A Project (see Projects) belongs to exactly one workspace. If you work across multiple companies or clients, use a separate workspace for each.

Members and roles

Role Can do
Owner Everything, including billing and transferring ownership. Every workspace has exactly one.
Admin Manage members, domains, and project settings; can't touch billing.
Editor Create/edit content — projects, monitors, scans, captures.
Viewer Read-only access.
Guest Limited access, typically restricted to specific projects.

Invite someone by email and assign them a role — you can invite as Admin, Editor, Viewer, or Guest, but not directly as Owner (transfer ownership separately if needed). A member can also be restricted to specific projects rather than seeing everything in the workspace.

Custom domains

Each distinct domain your projects use counts against your plan's active-domain limit — projects sharing the same domain (e.g. production and a test. subdomain of it) only use one slot together. localhost and archived projects never count. From Active domains, an owner or admin can deactivate a domain to free up a slot; every project on a deactivated domain becomes read-only until it's reactivated or moved.

Subscription and billing

Only the workspace owner can view billing details, change plans, or cancel — other roles see plan limits via their usage, not the billing screen itself. Plans are Solo, Team, or Business, billed monthly or annually, with optional extra seats beyond what's included. Enterprise is not self-serve — see Enterprise Custom Plans for how a negotiated, custom-priced Enterprise plan works.

Trials

New workspaces can start a 14-day Team-tier trial — but only once: one trial per workspace, and one trial ever per person, even across different workspaces, even if a prior trial expired without converting. A trial can't be started on a workspace that already has a subscription.

Once a trial expires, the workspace becomes read-only immediately — you can still see your data, but can't create or run anything new until you subscribe.

The trial has its own limits rather than every paid Team allowance, and it does not unlock Business-only integrations, AI features, or Brand QA. After expiry, a 14-day export grace period allows eligible exports. See Plans & Billing: Trials.

Storage

Your plan includes a storage quota (screenshots, thumbnails, etc. count against it). If you need more control — a specific S3-compatible bucket, or your own Google Drive/Dropbox — you can connect your own storage from Workspace Storage instead of using the platform's default.
